Ohio Youth Soccer Association North’s online registration system, e-Reg, now offers leagues the “Club Utility.” A “Club” admin control panel has been created on the League Admin Page so league member clubs may now perform the same functions performed by the league, but now at the Club level. Leagues will need to determine if the league will import/manage all member registrations or if they will decide to allow their member Clubs to do this. Clubs can import member data to e-Reg and print pass cards and rosters. Passes and rosters will require league approval before registration is complete (registrar signature/league stamp).

Spring 2008 League Registration Deadline: Tuesday, April 1, 2008 at 4:00 PM
League registration fees and member data are to be submitted by the deadline regardless if registration is complete or incomplete. For leagues unable to submit complete registration by the April 1st deadline, an estimated fee payment, covering 80% of each league’s registration from Spring 2007 player and coach counts, is due on or before the April 1, 2008 deadline. A link to the Estimated League Fees for Spring 2008 can be found below. Should your league know the exact number of registering members, please submit that amount by Aril 1st deadline instead of the 80% figure. Leagues that do not submit registration by the April 1, 2008 deadline will have late fees accessed at $5.00 per member. Never delete any member from the e-Reg system as they are registered for the full seasonal year (Sept. 1 thru August 31st).

For leagues submitting estimated fees by the April 1st deadline, OYSAN will accept additional registration fees and data until 4:00 PM on Thursday, May 1, 2008 with no penalty. All spring registrations received after the May 1st deadline are subject to the $5.00 per member late fee.

Summer League Registration will be from June 1 through July 31st. Leagues beginning practice/play in June should submit registrations to OYSAN by May 30, 2008. Summer leagues beginning practice/play in July should submit registrations to OYSAN by July 1, 2008. Final Summer league registrations are due on or before August 1, 2008.

The e-Reg system for 2007-2008 will close at 4:00 PM on Monday, June 30, 2008. Registrations will still be accepted by OYSAN and all additional registration data will need to be emailed to pmenick@oysan.org at the State Office.

Revised or NEW OYSAN Forms & Procedures:

All competitive and premier leagues that have teams participating in the OYSAN State Cup must have the team registration data entered into e-Reg no later than 4:00 PM on April 1, 2008.
All coaches, assistant coaches, team managers and team officials must be registered (register as Coach) and have submitted the online Risk Management Form.
No charge to leagues for player releases and transfers. The Player/Team Status Form will continue to be used by all competitive and premier level leagues/clubs when a player requests to be released from a team OR when a player requests to be transferred to a new team.
Leagues can approve and manage all releases and transfers within the league and will indicate the roster changes in e-Reg. RECREATIONAL LEAGUES will NOT be required to use the Player/Team Status form when a player leaves a team.
A copy of the approved Player/Team Status Form must be submitted to OYSAN when a player transfers to another league. Please make sure your members are notified of this change.
OYSAN requires that each league enter their league Board of Directors in the e-Reg; members of the League Board of Directors must apply for Risk Management.
Revised Fee Transmittal Form (new registration fee structure; removal of team and club fees).
The “trapped U15 player” form is no longer being recognized. All teams will need to register the team at the age of the oldest player on the team.

HELPFUL HINTS FOR SPRING 2008 REGISTRATION:
General System Notes:

Regarding Teams - The system searches for all unique Team Names and Team ID’s. When entering Players and Coaches, you will need to enter the Team Names and Team ID's consistently. If the team name is misspelled (i.e. MTSC Storm 94B is not the same as MTSC Storm 94 Boys), the system will think it is a different team and will print different rosters for the incorrect team names. Sample team ID number for MTSC Storm 94B; MTSC94B.
The utility in e-Reg used to locate teams and print the team roster will display the Team ID Number and Team Name only. In order to easily find a team in e-Reg, the team name should also include the age group or birth year and gender of the team, i.e. MTSC Storm U14B or MTSC Storm 94B. Due to improper team information, players/coaches may not appear on the correct team.

Player ID Numbers:
League may assign I.D. numbers OR have the system automatically assign I.D. numbers by leaving the Player ID field blank.

Duplication of Membership Information
Spring Registration: only new spring member information for players, coaches and team officials is to be imported into the e-Reg system; do NOT re-submit fall data. If an error message appears during the data import and partial data is accepted (i.e. data in field is inappropriate or a comma is used), correct the error, but do NOT import the records that have imported. Visually watch the display screen while importing for errors; records that failed to import will appear ONLY at this time. Note: The e-Reg system will accept duplicate records for all coaches, and will charge your league accordingly.
Please note that all competitive leagues will be required to enter a team name and team number for all players and coaches before importing the data into the e-Reg system. The team name should identify the team. Recreational leagues that have member clubs outside of their in-house program will also be required to submit this information.

Basic Functionality of the OYSAN Online e-Registration System
The function of the e-Registration System (e-Reg) is to use an online, secure database to manage registrations for participating leagues within OYSAN. The e-Reg System will allow your league to print pass cards, print team rosters and email coaches/players with information from your league. In the past our leagues were required to send us their registration data using either standard mail or email.

OYSAN now offers a fast and easy approach to accomplish this task. Individual leagues can utilize our online system and register all of their members through our website. This tool is easy to use and will manage all of your registration needs as they pertain to your players’ and coaches’ information.

The transfer of information is instantaneous, which means that disks do not need to be mailed and attachments do not need to emailed. We strongly encourage our leagues to adapt this registration process because it will provide a new level of efficiency for your league. Complete instructions for usage are available on our website.

Alternative Registration Methods
Other methods of registration are still available in which the individual leagues will create and populate an Excel .csv file (an Excel comma delimited file with the appropriate OYSAN field requirements, see Guidelines for Populating the Player Import Template File) or download the Player Import Template File from e-Reg, populate the file with the required league information, which will then be imported into the e-Reg system by the appropriate deadline.
If unable to get the file to import, the league may submit file to the database administrator at OYSAN by the appropriate deadline. The OYSAN administrator will import the records from the individual league Excel .csv files into e-Reg. After all files have been imported into the e-Reg system, the league administrator will have access to all their membership information that has been imported into e-Reg by OYSAN.
